Position Overview:
• Communications expert to provide press office support and resource to ensure excellent delivery of Olympic Communications plan in the run up to, and during London 2012. Responsible for managing messaging, approvals, supporting corporate / stakeholder / brand comms activity, managing evaluation, delivering effective comms reporting and driving integration with internal comms / CIC channels. Directly responsible for the management of out-sourced Olympic Press Office function, achieving alignment with internal Press Office team and Olympic Comms projects.
• This is a nine month contract based in Hammersmith, but with some travel as part of the OTR and on-park responsibilities during Games Time
KEY DUTIES/RESPONSIBILITIES:
Prioritized Responsibilities
1. Day-to-day contact for media enquiries across Olympic Comms programmes:
• Managing Blue Rubicon press office team
• Directing liaising with journalists as required
• Ensuring timely sign off of reactive statements
• Coordinating KO issue spokespeople (logistics / messaging)
2. Managing and updating all media materials / messaging for Olympic Comms programmes:
• Updates on message houses
• Ensuring issues handbook is up to date and shared with relevant team members
• Response statements bank
• Q+As and key lines to take on individual issues
• Spokespeople biographies
3. Managing approvals of all external facing materials through Danielle D’Lima (LOPT/LOCOG), Ilan Margolis (Legal), Lauri Chotiner (IOC) + relevant spokespeople to ensure consistency of Company-approved messaging
4. Managing media / stakeholder hospitality and ticket programmes including drafting and issuing invites to guests, managing logistics for ticket only journalist programmes, hosting at Games Time
5. Ensuring issues and crisis management processes followed – attendance on IMCR team in addition to KT/JM
6. Ensuring EUG / Global WWS informed across all Olympic activity / messaging – compiling regular update reports, sending real time coverage alerts, sharing results and successes
7. Games Time – handling media engagement at Showcasing site e.g. staffing / handling and processing media requests
8. Supporting Coke and Powerade M3-5 brand PR activity and NWEN IMC integration
9. Supporting corporate / stakeholder activity including delivery of messaging and media relations support for Social Legacy, Sustainable Games and Venue Ops programmes; input into stakeholder engagement programme e.g. managing briefings, q+as, undertaking research to prepare internal spokespeople
10. Managing integration with internal Olympic comms (Rachel Murray) and other internal comms channels e.g. MyKO bu providing project details, sharing media materials and assets, approving content
11. Providing Olympic comms support for CIC + other consumer enquiries, to include:
• Briefing CIC on campaign content / timings and ensuring correct messaging is shared and responses are agreed
• Providing content / messaging for non-campaign related Olympic consumer responses e.g. general enquiries about London 2012 sponsorship, IOC relationship etc
• Managing requests for Olympic support received by LOPT / Senior leadership team, e.g. responses to letters asking for sponsorship or support
12. Managing campaign evaluation in collaboration with S+I:
• Per moment tracking – feed into overall campaign tracking metrics and mange agency evaluation (Blue Rubicon and Kantar)
• Buzz tracking – ensure timely delivery of monthly updates, plus ad hoc buzz requests
• Updates to LOPT / wider business on success of communications programmes and campaigns
13. Support for After Action Review presentations e.g. reporting, collating coverage
