Purpose of the Position
Under the direct supervision of the Regional Director, you will be accountable for the design, planning, implementation and monitoring of a variety of Regional Director's Office activities and processes, including quality control, data analysis and progress reporting, in accordance with strategy, plans and decisions made by Regional Management Team (RMT) and Regional Office Management Team (ROMT); provide professional technical assistance and support for the cost-effective, efficient and secure management of functions related to overall administration and management of the Office of the Regional Director, in strict compliance with rules and regulations
Key Expected Results
1. Ensure effective management of information in the Regional Director's Office, through collection and analysis of data/documents, and accurate reporting; Maintains a constant and fluid communication flow on events, agendas, follow-up, and common work-plans, with Regional Advisors, Country Offices, other Regionals Offices and NYHQ; Ensures that the web-based ESARO Calendar of Events is up-to-date, through constant information exchange; Decide on most appropriate systems to ensure the easy and prompt retrieval and accessibility of Regional Director 's Office key documentation and its dissemination as required.
2. Supervise the effective and efficient management of the administrative, logistical, protocol and support functions of the Office of the Regional Director, establishing, monitoring and evaluating work-processes, identifying bottlenecks and areas for improvement, recommending solutions and changes required for long-term improvements. Answer and coordinate responses to the ESARO generic e-mail and website.
3. Support the preparation of ESARO monthly programme and management meetings (such as the monthly Travel Free Week) and of other key events, coordinating and monitoring follow-up on agenda and objectives
4. Monitor and maintain the Technical Assistance Management (TAM) system; generate periodic reports related to the provision of technical assistance, oversight, quality assurance and regional representation.
5. Prepares status reports, key briefing materials, and presentations for the Regional Director's Office for internal and external meetings, the Executive Board, budget reviews, as required; analyze monthly programme and management reports and identify areas of concern for the attention of the Regional Director
6. Contribute to the design and organization of Regional Management Team Meetings and of other high level Regional meetings, ensuring quality technical and logistical preparation and execution of these meetings.
7. Support the Regional Director in maintaining effective relationships with regional partners -including those of the UN and national partners, NGOs, intergovernmental organizations , international financial institutions, NGOs and civil society- and in contributing to the integration of UNICEF initiatives into broader UN activities.
8. Work with the Planning, M&E, Operations, HR and Communication Sections to support the RD's role to provide effective country programme support for programme preparations, resources, budget preparations, and fundraising efforts. Task includes the review of documentation requiring signature of the Regional Director to ensure they are consistent with established internal procedures and quality standards.

Qualifications of Successful Candidate
Advanced university degree in Social Sciences, International Relations , Government, Public Administration , Public Policy, Business Administration or financial management.*
Five years of relevant professional work experience.
Both national and International work experience in planning, office management, public administration, monitoring and evaluation . Knowledge of finance, accounting, ICT, human resources, supply and administration an asset.
Work experience in emergency duty station an asset.
Fluency in English and in French or Portuguese. Knowledge of the local language (Kiswahili) an asset.
*A first level university degree with a relevant combination of academic qualifications and experience may be accepted in lieu of the advanced university degree.
Five years of relevant professional work experience.
