Duties & Responsibilities
Under the overall supervision of the FOS Head of Field Operations Support Unit, and with delegated authority,
the Logistics Assistant/Desk Officer will be responsible for the following duties, in support of the Head of the
FOS Operations Support Unit:
1) Act as Country Specific Desk Officer;
2) Assist with the daily administration of the Field Operational Support Unit of FOS;
3) Provide effective and timely logistics/operational support to field locations;
4) Implement procedures to ensure that requisitions for supplies/material/services are properly prepared and
reviewed to be issued, replenished, allocated, etc.;
5) Implement standard operational procedures as outlined in the FOS Strategic Plan related to office
organizational initiatives, inventory control, reporting and invoice processing and general accounting processes;
6) Develop, maintain and update software and databases such as SAP for tracking, requisitioning,
reconciliation and accounting purposes;
7) Monitor and analyze contract performance to ensure compliance with contract terms, schedules and cost
objectives;
8) Prepare summary reports;
9) Liaise with relevant Field Office Locations and ICC Sections (e.g. Procurement, Finance, GSS etc.) to
follow-up/resolve issues regarding activities related to the purchase, shipping, invoicing and payment of
equipment and services received/rendered at field offices, as well as all/any other requirements in support;
10) Process field office requests for assistance and support the day-to-day logistics operations;
11) Gather data and inputs on field office requirements, procurement plan, and cost estimates for input into
budget and acquisition planning;
12) Assist with the Sections'/Unit's budget planning.
Essential Qualifications
1) Completion of secondary school;
2) At least four years of relevant experience in the field of logistics, administrative, operational support;
3) Knowledge of logistics, administrative, operational support, with a good understanding of field related
support operations;
4) Demonstrated effective organizational skills and the ability to handle multiple tasks in an efficient and timely
manner;
5) Proficiency in IT processes and applications as they relate to logistics, administrative, operational functions,
as well as the procurement of supplies and equipment;
6) Ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity.
KNOWLEDGE OF LANGUAGES
Fluency in either of the working languages of the Court, English or French, is essential. Working knowledge of
the other is desirable. Knowledge of another official language of the Court would be considered an asset
(Arabic, Chinese, Russian, Spanish).
