General Information
UNIDO occasionally recruits suitable qualified staff for short-term assignments in the General Service category. The duration of such short-term assignments may vary from a few days to a maximum of six months.
General Service staff (support staff) are recruited locally. Candidates must be legal residents of Austria and should reside in Vienna or within the commuting area.
Main duties
The incumbent provides secretarial and administrative support to one or more senior staff. The duties normally include, but are not limited to, the following:
(a) Screening incoming mail and keeping track of all pending matters, following-up on deadlines;
(b) Organizing schedule of appointments and receiving visitors;
(c) Drafting routine correspondence;
(d) Arranging meetings and preparing/distributing agenda/background material;
(e) Establishing/maintaining proper filing systems;
(f) Making travel arrangements and preparing related travel claims;
(g) Performing other duties as required by the supervisor(s).
Required Competencies
Very good organizational and drafting skills. Proven ability to work harmoniously in a team; highly developed interpersonal skills with sensitivity and respect for cultural diversity. Tact and absolute discretion. Flexibility and ability to work under pressure.
General Requirements for Short-term Assignments
Completed secondary education, secretarial training or equivalent. Some years of relevant secretarial/clerical working experience preferably in a similar position. Prior experience within the UN system an advantage. Knowledge of the structure, hierarchy and channels of communication within the Organization or similar large organizations, normally obtained through on-the-job training highly desirable.
Advanced use of processing tools, such as Word, Excel, PowerPoint.
Fluency in English; working knowledge of another official language, in particular French and/or Spanish, highly desirable.
